Team Collaboration

Invite colleagues to work together on data analysis with role-based access control.

Inviting Team Members

  1. Go to Account → Team in the main menu
  2. Click "Invite Member"
  3. Enter their email address

    You can invite multiple people at once by separating emails with commas

  4. Select a role: Viewer, Editor, or Admin
  5. Click "Send Invitation"

Note: Invitees receive an email with a link to join your workspace. They'll need to create a DATIRA account if they don't have one.

Team Roles

Viewer

Best for stakeholders who need to see reports but not modify them.

Permissions:

  • View all shared reports and dashboards
  • Apply filters and interact with visualizations
  • Export data to CSV/Excel (if allowed by owner)
  • Cannot create, edit, or delete reports
  • Cannot upload data sources

Editor

Best for team members who create and maintain reports.

Permissions:

  • All Viewer permissions
  • Create new reports and dashboards
  • Edit reports they created or have been shared with
  • Upload and manage data sources
  • Clean and transform data
  • Cannot delete other members' work
  • Cannot manage team or billing

Admin

Full access to everything. Reserve for account owners and trusted managers.

Permissions:

  • All Editor permissions
  • Invite and remove team members
  • Change member roles
  • Delete any report, dashboard, or data source
  • Manage billing and subscription
  • Configure workspace settings
  • Access audit logs (Business plan)

Sharing Specific Items

Beyond workspace-level access, you can share individual items with specific team members:

  1. Open the report or dashboard you want to share
  2. Click Share in the top-right
  3. Select Share with Team Member
  4. Choose team members or type email addresses
  5. Set permissions (View or Edit)
  6. Click Share

Private items: By default, items you create are visible only to you and Admins. Use item-level sharing to grant access to specific colleagues.

Organizing with Folders

Use folders to organize work and manage access at scale:

  • Create folders for teams, projects, or departments
  • Set folder permissions — members with access can view everything inside
  • Nested folders inherit parent permissions (can be overridden)
  • Move items into folders to change their visibility

Managing Your Team

Changing Roles

  1. Go to Account → Team
  2. Find the team member
  3. Click the role dropdown
  4. Select a new role
  5. Confirm the change

Removing Members

  1. Go to Account → Team
  2. Find the team member
  3. Click Remove from Team
  4. Choose what to do with their content:
    • Transfer ownership to another member
    • Delete their reports and data
  5. Confirm removal

Pending Invitations

Track invitation status in the Team page:

  • Pending — Invitation sent, not yet accepted
  • Accepted — User joined the team
  • Expired — Invitation expired (7 days)
  • You can resend or cancel pending invitations

Single Sign-On (SSO)

Business plan only: Connect DATIRA to your company's identity provider (Okta, Azure AD, Google Workspace, etc.) for seamless authentication.
