Scheduled Exports

Automatically deliver reports to stakeholders' inboxes on a regular schedule.

How It Works

Scheduled exports automatically generate and email your reports or dashboards as PDF attachments or inline images. Set it once, and recipients receive fresh data without any manual effort.

Plan requirement: Scheduled exports are available on Pro (5 schedules) and Business (50 schedules) plans.

Creating a Schedule

  1. Open the report or dashboard you want to schedule
  2. Click Share → Schedule Export
  3. Configure the schedule:
    • Recipients (email addresses)
    • Frequency (daily, weekly, monthly)
    • Time and timezone
    • Export format
  4. Customize the email (subject, message)
  5. Click "Create Schedule"

Frequency Options

Daily

Choose specific days (weekdays only, every day, etc.) and time of delivery.

Weekly

Select which day of the week and time. Good for weekly status reports.

Monthly

Choose a specific date (1st, 15th, last day) and time. Perfect for monthly reviews.

Custom

Advanced cron-style scheduling for specific intervals (Business plan).

Export Formats

PDF Attachment

The report/dashboard is rendered as a PDF and attached to the email. Recipients can save, print, or share the file.

Best for: Formal reports, archiving, printing

Inline Image

Charts and tables appear directly in the email body as images. No attachment to open.

Best for: Quick glance reports, mobile readers

Excel/CSV Attachment

Raw data from the report attached as an Excel or CSV file. Useful for recipients who want to do their own analysis.

Best for: Data analysts, detailed review

Link Only

Email contains a link to view the live report in DATIRA. No attachment, always shows current data.

Best for: Interactive exploration, larger dashboards

Email Customization

Personalize the email that recipients receive:

  • Subject line — Custom subject or use report name
  • Message body — Add context, instructions, or commentary
  • Reply-to address — Where replies should go
  • Include date in subject — Automatically adds the report date

Attached is this week's sales performance report. Key highlights: Q4 revenue up 15% YoY!

Managing Schedules

View and manage all your scheduled exports:

  1. Go to Account → Scheduled Exports
  2. See all active schedules with their settings
  3. Click a schedule to:
    • Edit settings (recipients, frequency, format)
    • Pause or resume the schedule
    • Send a test email now
    • View delivery history
    • Delete the schedule

Delivery History

Track the status of each scheduled delivery:

SkippedNo data available or schedule paused

Conditional Delivery

Only send when conditions are met (Business plan):

  • Data changed — Only send if the data has updated since last delivery
  • Threshold met — Only send if a metric exceeds/falls below a value
  • Has data — Skip if the report would be empty

Example: "Send daily sales report only if daily revenue exceeds $10,000"

Troubleshooting

Emails not arriving?

  • Check spam/junk folders
  • Verify recipient email addresses
  • Add noreply@datira.io to your allowlist
  • Check delivery history for error messages

PDF rendering issues?

  • Very wide tables may be truncated — consider splitting reports
  • Complex charts may take longer to render — increase timeout in settings
  • Check if the report has errors when opened manually
